The most commonly asked questions from companies have been gathered on this page.

In the responses, there is often a request to contact the inspector who conducted the inspection. Contact information can be found on the inspection report or via this link to the municipal food control authorities.

  • 11. I cannot find the Oiva report and the inspection report; what should I do? Has the report been lost in the mail?

    The Oiva report is delivered to the company via post, together with the inspection report. Even if the Oiva report has been lost, the letter has generally been delivered to the company, but it may have, for example, been inadvertently left unopened. So please check first, if you can find the letter in your company premises. The envelope is white with a window for the address, and it holds the A4-sized reports folded in the middle. The envelope does not indicate the sender or portray the logo of the Finnish Food Authority or the municipality that conducted the inspection. When no letter has arrived, it is also possible that the Oiva report and the inspection report have been sent to another address than the inspected company at the request of the company. So, it is possible that the report may be found at the office, the headquarters or at the entrepreneur’s home.

    If the report has been lost, contact the municipal food control authority who conducted the inspection or the relevant control unit. If required, the municipal control authorities can resend the report from their system, and it will then be mailed again to the address provided earlier.   • 22. The Oiva report has been lost/destroyed; where can I obtain a new one?

    If the report has been lost, contact the municipal food control authority who conducted the inspection or the relevant control unit. If required, the municipal control authorities can resend the report from their system, and it will then be mailed again to the address provided earlier.   • 33. The marketing name or address of the Oiva report is not correct; what should I do?

    If the name or address on the report is incorrect, please contact the food control authority who conducted the reports of his or her control unit. The municipal food control authorities write the Oiva reports and are responsible for their content. If needed, they have the possibility to make changes to the reports. Because the municipalities are responsible for the contents of the Oiva reports, the Finnish Food Authority cannot delete the reports from the Oivahymy.fi website or make any changes to the reports.

  • 44. The Oiva report and the inspection report are not equivalent with the content of the inspection conducted in my company; what should I do? The Oiva report or inspection report contains factual errors; who should I contact? Who is responsible, if the Oiva report provided to my company does not adhere to the guidelines of the Finnish Food Authority?

    If the report has been compiled incorrectly or it contains factual errors, please contact the food control inspector who conducted the inspection and compiled the reports or his or her control unit. The municipal food control authorities write both the Oiva reports and the inspection report, and the municipal control units are responsible for their content. If needed, they have the possibility to make changes to the reports. However, the Oiva report is not an administrative decision, so an official complaint cannot be made. Because the municipalities are responsible for the content of the Oiva reports, the Finnish Food Authority cannot delete the reports from the Oivahymy.fi website or make any changes to the reports.

  • 55. The category of my company has been indicated incorrectly; what should I do? My company is a restaurant, not a pub as it has been determined at the moment. How do I rectify the determined category?

    The category indicated in the Oiva search function is based on a food industry’s general classification from which the sectors used in the search have been generated.

    Contact the food control inspector who conducted the inspection or his or her control unit. In cases of error, they can change the company’s category in their system.   • 66. The map application of the Oivahymy.fi search function does not show the address correctly; what should I do?

    The company address on the Oiva report functions as the address for the map link.

    If the address is not correct, please ensure that Google Maps recognises the address correctly and contact the food control authority who conducted the inspection or their control unit. They can replace the address on the Oiva report with the correct one.

    If the address is correct, contact the system using the Finnish Food Authority’s oivahymy.fi feedback page. The Finnish Food Authority will forward the question to the system’s technical administrator.

  • 7How does legislation affect the Oiva evaluation guidelines?

    Oiva does not amend legislative requirements or provide interpretations of regulations. The matters to be checked change and the evaluation guidelines are updates as the food legislation changes.

  • 8When will the Oiva report be displayed in the Oivahymy.fi page’s search function?

    The Oiva reports are displayed in the Oivahymy.fi search function 10 days from the date when the inspector has sent the final report either via post (delivery in an envelope) or to the provided email address. This delay was set up in order for the operators to view the Oiva report before it is published. The Finnish Food Authority has instructed that the Oiva report and the inspection report should be sent to the operator no later than eight working days after the inspection. If the inspection has been conducted recently, the Oiva report may not yet display in the search function due to this delay.
